Activity Information

Times

Each day normally runs 8.30am-5.30pm in order to be convenient for working parents. However half day bookings (8.30am-1.00pm and 1.00-5.30pm) are also possible. It is acceptable to drop children off later than the stated start times or pick-up earlier than the stated finish times, although we ask that any variations are notified in advance where possible to enquiries@horshamsportsservices.co.uk or 07764 146338 (or other number that the leader in charge of the camp may provide on request).

Age range

Holiday activities cater for 5-12 year olds but we are prepared to accept older children by special request. 

Sport-specific workshops

The main camps tend to run alongside sport-specific workshops run in a particular part of the venue. As long as there is spare capacity available day and half-day camp children can participate in these sessions at no additional cost along with the children that have been booked specifically and only for them.

Workshops will typically consist of a warm-up, skills/drills and matchplay, possibly including a tournament. Equipment and coaching is age appropriate.  

Sports

Horsham Sports Services staff are trained and equipped to deliver a wide range of sporting options (see below). The sporting offer on any given day will take into account facilities (including storage for equipment) available, numbers/ages of children, knowledge of children’s preferences, whether a day has been themed in a particular way and observation of the need to rotate activities for variety.

Safety and fun are the principal priorities in Horsham Sports Services’ holiday sports provision, although children who are motivated to learn are keenly supported to do so.

Art

Horsham Sports Services staff are not art specialists but as a team is still keen and able to provide children with opportunities to be creative in its holiday camps in the following ways:

  • Crafts – materials and encouragement are provided for children in papercraft, drawing, colouring and making things like pom poms
  • Musical instruments – a selection of basic musical instruments is available for children to have fun and experiment with in making music
  • Dance – a music player will be available and sometimes a dance deliverer may be on the staff to give a dance focus.
  • Cheerleading – sometimes a cheerleading deliverer may be on the staff to give a cheerleading focus.
  • Lego – giving children the chance to be creative in an engineering kind of way

Play

Within the context of a 9 hour day it’s important that children have lots of opportunity to play freely under their own steam (as opposed to receiving structured tuition) in order that they can be more relaxed, creative, social and, ultimately, be themselves as children and have lots of fun.

We have a range of equipment pieces of a more play-based nature (some individualised, some cooperation-based) – wheelchairs, boxing bag/gloves, diabolo (spinning plates), limbo, mini-trampoline, pogo-stick, spacehoppers, stacking cups, stilts, tunnels, catching frame, board games, caterpillar track, jenga, giant Connect 4, swingball, tug of war and X-Box (with age appropriate games!).

Additionally staff are trained to deliver a range of playground games (eg capture the flag).

These terms and conditions cancel out and supersede any from earlier dates.

Admissions

HSS provide services to all children regardless of their gender, specific needs, learning difficulties, background, religion, ethnicity or how well they can speak English.

HSS encourages children with additional needs to participate in its activities. Should a child require 1:1 care, HSS will endeavour to assist such a request by working with local agencies, such as Horsham District Council, in an attempt to obtain the appropriate additional care and support for the child.

Bookings

Bookings for all HSS activities should be made in advance and full payment must be made at the time of booking. Bookings can be made at  https://horshamsportsservices.bookwhen.com

Please note that completing a booking is regarded as acceptance of our Terms and Conditions.

Methods of Payment

HSS accepts payment principally online via credit or debit card. However bank transfer and cash payments are also possible by agreement.

Cheque payments cannot be accepted.

If full payment for the activity is not received no new bookings or amendments will be accepted until the account has been paid in full.

Booking Confirmation

All bookings will be confirmed by email.

On-The-Day Bookings

Subject to spaces being available and booking form details being provided, on-the-day bookings with cash payment are possible but a 20% surcharge will be applied to the cost of that particular activity. On the day of an activity enquiries can be made via phone number 07764 146338.

Changes to Existing Bookings

All changes made to existing bookings with be charged at the applicable rate in the pricing structure  irrespective of when the original booking was made. The date of the change will determine the price category.

Cancelling of Booking by Customer

For cancellation of a booking HSS will require at least 7 days’ notice prior to the activity start date/time. No refund or credit note will be issued for activities which are cancelled within the 7-day notice prior to the activity start date/time because the costs (eg facility hire) associated with that booking will have already been committed to.

Where refunds are issued as a result of customer cancellation with at least 7 days’ notice they will incur a deduction equivalent to the amount of payment gateway commission that was paid out on the original transaction.

Cancellation of Booking by HSS

In exceptional circumstances HSS may need to cancel particular dates/venues and will provide the customer with as much advance notice as possible. In this event we will refund all monies paid for the cancelled dates/venues. Please note HSS will not be liable for any other costs incurred by customers associated with the cancellation.

Sign In and Sign Out of Child/ren and Security

HSS has security procedures to ensure the safety of your child/ren is ensured at all times:

  • All children must be signed in and out on the register at the start and end of the day/session.
  • On your child’s first day/session we will also ask you to confirm that your details, provided at the time of booking, are correct, permission of photography and filming and to sign an emergency medical treatment consent form.

Note: children will only be released into the care of nominated carers detailed on their registration form during HSS activities.

Late collection of Child/ren

Late collection of children is liable to cause worry and inconvenience for staff.

HSS reserves the right to charge £5 for every 10 minutes that elapse after the session finish time. The late fee covers the cost of staff overtime to remain with the child. Parents are required to advise HSS if they will be late collecting their child. This prevents both the staff and child from worrying.

Parents will be advised of the policy when picking the child up on the first late occasion. The second late incident will incur a fine and the parent will be advised of this on collection of the child. The third late incident will incur a fine and a warning of immediate booking revocation after the next occasion and the parent will be advised of this on collection of the child. Future bookings will be precluded immediately on the fourth late pick up.

Food and Drink

Parents/carers are required to provide their child/ren’s food/drink. We always recommend each child brings plenty of drink and a small snack for any activity session however long the duration. When an activity length exceeds three hours a full packed lunch is recommended

HSS operates a strict NO NUT policy, which parents are asked to adhere to in providing food to their child for any session in the interest of the health of all children, given the risk of someone having an allergic reaction.

Safeguarding

HSS staff and adult volunteers go through a recruitment process that includes DBS and reference checks. HSS has legal obligations in relation to safeguarding. HSS staff have a duty to respond if they suspect a child in their care may be suffering from abuse. Any disclosure of child abuse or neglect will be fully investigated and reported to appropriate official agencies.

Behaviour

HSS ensures that all staff and children are treated with the same respect and behaviour during all our activities, with the use of effective behaviour management strategies to promote the welfare and enjoyment of all children attending.

HSS will work in partnership with parents, schools and children with the aim to manage behaviour using clear, consistent and positive strategies. Our staff will use encouraging positive behaviour as well as providing clear guidance for managing poor behaviour and maintaining the safety and welfare of children and staff. Our activities have participant and staff codes of conduct in place and on display.

HSS has a responsibility for ensuring the well-being and safety of all children in its care and have approved procedures for managing behaviour. The company follows a zero-tolerance policy on discrimination, bullying and persistent poor behaviour of any kind. For more serious cases, HSS reserves the right to ask parents/legal guardians to remove children from its services.

Concerns, Compliments and Complaints

HSS aims to work in partnership with parents to deliver a high quality childcare/sporting service for everyone. If for any reason we fall short of this goal, we would like to be informed in order to amend our practices for the future.

Our complaints policy is displayed on the premises at all times. Records of all complaints are kept for at least three years. A summary of complaints is available for parents/guardians on request.

Equal Opportunities

Each child attending HSS services is of equal value and is entitled to equal access of opportunity. The company operates a zero-tolerance policy on discrimination or bullying of any kind.

First Aid

In the event of an accident, first aid will be administered to children in our care, and the emergency services will be called, if necessary, as agreed within our registration process.

Health, Sickness and Medication

Any medical conditions must be fully disclosed at 1) time of booking and registration and 2) at drop off and sign in on site to the site manager. Essential prescribed medication must be handed in to each child’s site manager for safe keeping and a medication consent form is completed and seen by the site manager.

HSS requires that all children who are ill or infectious be kept at home for the full duration of their ailment, and for 48 hours after the last symptom occurs.

Mobile Phones and Electronic Devices

Children are requested to not bring mobile phones or electronic devices to any HSS sessions. If a child does bring a mobile phone to a session then it will be their own responsibility and HSS will not be liable for loss or damage. For privacy reasons children should not take any photos/videos at the camps and share them online (eg social media) in any way.

Please note that each HSS site has access to a site phone and/or tablet device to be used appropriately within our services and in case of emergencies. Parents/Guardians are required to contact the leader in charge of a particular camp day if they wish to speak with their child during service times.

Photography and Video

HSS may occasionally want to take photographs/videos of activities and children within these settings for the sole purpose of use with promotional and informational material. A photo consent process will be implemented either via the website booking process and/or an on-the-day signing sheet

Personal Property

Valuable items should not be brought to HSS activities. Please note children traveling to our services via scooter will not be permitted to leave them onsite due to space restrictions and safekeeping issues. HSS will not be liable for the loss or damage of any item of personal/valuable property brought to any of its venues. We advise parents to ensure that all bags and clothing are clearly labelled with the child’s name.

Our Liability

HSS is covered by £10 million public liability insurance

We do not exclude or limit in any way our liability for:

  1. a) Death or personal injury caused by our negligence of our employees, agents or subcontractors
  2. b) Fraud or fraudulent misrepresentation
  3. c) Breach of the terms implied by section 3, 4 and 5 of the supply of goods and services act 1982
  4. d) Breach of the terms implied by sections 3,4 and 5 of the supply of goods and services act 1982 (description, satisfactory quality, fitness for purpose and samples); and
  5. e) Defective products under the Consumer Protection Act 1987

If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breach of the terms or negligence. We are not responsible for any loss or damage that is not an obvious consequence of HSS breaching the terms.
